FOR A GLOBAL WILDLIFE CONSERVATION ORGANIZATION

Our client is a leading global non-profit organization dedicated to fostering the well-being of both animals and people. With a fleet comprising over 20 field vehicles used for essential organizational projects, and additional vehicles managed by individual staff members, the need for a robust fleet operations management solution to support its administration team to better manage its fleet operations processes became imperative.

THE GAPS

Despite investing in a robust fleet tracking system, the client faced various gaps that hindered optimal fleet operations management, control and monitoring. Some of these gaps are highlighted below;

1. Approval Management – Gaps in coordinating and approving trips aligned with its operational plans and budgets.

2. Control and Monitoring – Lack of tools to control and monitor its fleet operations particularly alignment with
approved activity plans.

3. Administrative Overheads – High administrative overhead in reconciling and accounting for resource utilization
against approved assignments and costs.

4. Auditing – Lack of relevant data to undertake comprehensive audit of fleet operations activities and to confirm or
flag non-compliance to approved budgets and operational plans.

5. Reports – Gaps in generating relevant reports and data to support informed informed decision-making.

THE SOLUTION

THE SOLUTION

In response to these gaps, we proposed and implemented a customized Fleet Operations Management Solution as an
extension of our Computerized Asset Maintenance Management platform named ‘AssetFix.’ Key features and
capabilities included:

  • Work Trips Requests Management App – Field Operations Teams (Drivers) were equipped with a mobile application
    to submit work trips requests for internal approvals.
  • Back Office Approval – The back-office team was empowered with a back office tool to assign and approve trip request from field operations teams. The field teams receive real time notifications of assigned and approved trip assignments
  • Integration with Vehicle Tracking System – The solution was integrated with the existing fleet tracking system powered by a leading Asset Tracking System (Galooli FTS).
    This provided enhanced visibility (with real time data) of active trips. It also enhanced
    the capability of the organization to track and monitor compliance with operational
    plans and approved activities.
  • Real-time Reports and Analytics – Custom real-time. reports were developed in alignment with key internal reporting requirements
