HOW AN ADMINISTRATIVE ASSISTANT IV WILL MAKE AN IMPACT: - Working in a discreet environment handling sensitive and personal information daily
- Completing transactional duties with special attention to detail, being organized, and multi-tasking
- Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email
- Handling and receiving incoming and outgoing correspondence
As an Administrative Assistant IV, your day-to-day responsibilities will include:
- The Administrative Assistant (AA) in this office will serve as advanced support for 6 principals (5 SIS and 1 GSIS) and will lead on all Interagency scheduling and D/CNC and DD/CNC's schedules
- The position requires critical thinking when reading through large quantities of meeting requests
- The AA IV should be very proactive, ask the right questions, and have a professional demeanor that has confidence when working with seniors and other government agencies
- The advanced support includes proactively seeking answers to questions they anticipate will be asked by their principals
- The AA will coordinate the travel for their principals and submit necessmy requests/vouchers
- The AA will be expected to preemptively identify and address elements that are necessmy for the principal's success (i.e., does the task require a car? a conf. room? access to the building, travel time allotted, etc.)
- Thoughtfulness and ownership of their principals' schedules is imperative
- Thinking through the logistics of each meeting to ensure their principals are on schedule and have the information they need to understand the 5 W's of each meeting
- The AA should have a can-do attitude and positive demeanor
- This is a customer facing position requiring a high level of professionalism as the AA will interact with the center's workforce, partners, and liaisons, and will be seated at the entrance to the office suite
- The AA will report to the chief and deputy chief of Support
- The AA will interface with numerous visitors from a wide variety of offices
- The AA will be responsible for the Center's FO administrative support and monthly meetings from leaders in two departments
- They will also be part of a dynamic administrative support team providing Center-wide assistance
- The AA should have excellent verbal and written communication skills, be self-motivated, able to work independently as well as be team oriented
- Travel, if any, would be local to WMV and the occasional domestic off-sites. The Administrative Assistant (AA) will consistently use the following systems to complete actions throughout each week
- Outlook, Microsoft Office, BARRS, Go Travel, sponsor training system, sponsor access tracking system, and the sponsor asset tracking software is imperative
- An advanced level of proficiency is needed for both the sponsor access tracking system and sponsor travel system
- The AA should have an intermediate level of proficiency and knowledge with the sponsor asset tracking software, sponsor travel system, and sponsor voucher system
- The AA needs an advanced skill level with Microsoft Word and Outlook
- The office desires an AA with prior sponsor experience and knowledge of sponsor databases used by the sponsor network of administrative support personnel
- The position is non-supervisory but the AA may be asked to train junior SAs when required
- The Administrative Assistant (AA) will provide personnel management support throughout the office via numerous activities and responsibilities
- The AA will handle access requests via the sponsor access request tracking system and troubleshoot access request errors should they arise
- The AA will handle all visitor access requests using the sponsor visitor access request system and will escort visitors as needed
- The AA will handle group administration, creating new groups, and cleaning up existing ones
- With the arrival and departure of personnel the AA will update seating charts and phone cards, and track all arriving/departing officers and trainees, as well as update approvers' lists, and rosters
- As directed the AA will provide vault access
WHAT YOU'LL NEED TO SUCCEED: - The position requires an active TS/SCI with Polygraph security clearance
- HS Diploma and seven (7) years of relevant experience or equivalent combination of education and experience
- The work schedule is a standard schedule with core hours of 8:00am - 5:00pm (M-F)
- Proficient Word, Excel, Outlook, PowerPoint
- Able to perform duties with minimal supervision and some team interaction
- This position is on customer site

The likely salary range for this position is $132,964 - $152,909. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
